You’ve got Ultimate Tasks 3.0 – the latest version of Ultimate Tasks.

This new version was released November 30, 2024, and packs an improved, streamlined design, along with lots of new features.

I highly recommend using this version; however, if you want the older version shown in some of my popular older videos, you can find it here: Ultimate Tasks 2.0.

You can learn how use Ultimate Tasks by going through this short tutorial project: Get Started with Ultimate Tasks (this current page is the first task in it).

Staying on top of your to-do list in Ultimate Tasks is simple. Here are a couple of key habits:

Capture new tasks to the Inbox view on the home page. This is a great default capture spot, and it’s crucial to have clarity about where you capture new tasks when they come into your life.

Add Projects and Due Dates to tasks. Projects are a great way to keep tasks organized. This very task is part of the Get Started with Ultimate Tasks project – which means it won’t be in the inbox! Tasks leave the Inbox once they’re added to a project – just like tasks in Todoist, TickTick, and most other to-do apps.

Giving a task a Due date won’t make it leave the Inbox, but it will add it to your schedule views. This will help you make sure you get things done on time.

Finally, do a daily review. Near the end of each day, I recommend looking over your system for 3-5 minutes. Check off any done tasks, change due dates as needed, and delete tasks that aren’t relevant anymore.

Want more detail? This is the exact set of habits for task management I recommend for Ultimate Brain users as well. Feel free to check out the more detailed task management tutorial in our open docs for Ultimate Brain – you’ll find that it applies perfectly to Ultimate Tasks, too.
